1. Getting Started #
LabelMaker is a web application that turns any spreadsheet into print-ready PDF labels in seconds. There is nothing to install — it works entirely in your browser.
The process is simple:
- Upload your spreadsheet (or import from Google Sheets)
- Configure the page layout and label content in the visual editor
- Generate a PDF and print it on your label paper
You can start immediately without creating an account. Guest users can upload spreadsheets and generate PDFs with a 100 labels per PDF limit. Creating a free account unlocks additional features like saved presets, file history, and Google Sheets import.
2. Uploading Your Spreadsheet #
Your spreadsheet is the data source for your labels. Each row becomes one label, and each column becomes a field you can place on the label.
Supported Formats #
- .xlsx — Microsoft Excel workbooks
- .csv — Comma-separated values (UTF-8 encoded)
- .ods — OpenDocument Spreadsheet (LibreOffice, Google Sheets export)
How to Upload #
Click the upload button on the home page to open the upload dialog. You can either drag and drop a file or use the file picker. Alternatively, try the built-in demo CSV to explore the editor without preparing your own data.
Google Sheets Import #
Registered users can connect their Google Drive from the Account page. Once connected, the upload dialog shows a "Google Sheets" tab where you can search for and import any Google Sheets file. LabelMaker requests read-only access — we never modify or delete your Google files.
Note: Importing a Google Sheet creates a snapshot of the data at that moment. If you update the spreadsheet in Google Sheets, you need to import it again in LabelMaker to see the changes. There is no automatic synchronization.
Microsoft 365 Excel & Notion #
Direct integration with Microsoft 365 Excel and Notion is coming soon and will work similarly to the Google Sheets integration. In the meantime, you can export your data from these services and upload it to LabelMaker:
- Microsoft 365 Excel: Open your spreadsheet in Excel Online, click File → Save As → Download a Copy to get an .xlsx file.
- Notion: Open your database, click the "..." menu, then Export → CSV.
File Size Limits #
Guest and free registered users can upload files up to 10 MB. Subscribed users have no file size limit.
Guest vs. Registered Uploads #
Guest uploads are not linked to any account and cannot be retrieved after your session ends. Registered users see all their uploads in the Spreadsheets page, where they can re-open, rename, or delete files at any time.
3. Choosing a Label Layout #
The layout defines the physical dimensions and grid of your label paper. Getting the right layout is essential for labels to line up with the die-cut stickers on your paper.
Pre-configured Layouts #
LabelMaker includes 28+ pre-configured templates. Use the "Common Layouts" dropdown in the editor to select one. Available templates include:
- Avery — 5160 (30 labels, 3×10), 5163 (10 labels, 2×5), L7160 (21 labels, 3×7), L7163 (14 labels, 2×7)
- Avery Zweckform — 3474 (24 labels, 3×8) and others
- Thermal — 4×6" (shipping standard), 100×150mm (EU shipping), and many smaller sizes
- Generic grids — A4 portrait and landscape grids from 1×1 to 5×10
Check the packaging of your label paper for the product number (e.g., "Avery 5160" or "Zweckform 3474") and select the matching template.
Custom Dimensions #
If your label paper is not listed, you can set custom values:
- Page width & height — in millimeters (e.g., 210 × 297 for A4)
- Columns × rows — the grid of labels on each page
Page & Label Margins #
Click "Advanced Options" in the editor to access margin controls:
- Page margins (top, bottom, left, right) — the space between the edge of the paper and the first label. Adjust these if labels are clipped or offset when printing.
- Label margins (top, bottom, left, right) — the internal padding within each label cell. Increase these to add breathing room around your label content.
All margin values are in millimeters. The live preview updates instantly as you change them.
4. Configuring Label Content #
Once you have selected a layout, configure what information appears on each label.
Selecting Columns #
In the "Include Columns" section, check the spreadsheet columns you want to appear on each label. Unchecked columns are excluded from the label. Each selected column becomes a text line on the label.
Reordering Lines #
Drag and drop the label lines to change their vertical order. The first line appears at the top of the label. You can also use Shift+Drag to merge two lines — this places multiple columns on the same line, separated by a configurable separator text.
Per-Line Settings #
Click the settings icon on any line to configure it:
- Font size — in points (default 14pt)
- Bold — toggle bold text
- Alignment — left, center, or right
- Overflow — Truncate (single line, cut with ellipsis) or Wrap (flow onto a second line, up to 2 lines)
- Top margin — spacing above this line (in millimeters)
Multiple Columns on One Line #
When two or more columns are merged onto one line (via Shift+Drag), you can set a separator — for example, " — " or ", " — that appears between the column values. This is useful for combining fields like "Product Name — SKU" on a single line.
5. Adding Barcodes #
LabelMaker can generate barcodes directly on your labels from any spreadsheet column.
Supported Barcode Types #
- Code 128 — Most versatile. Supports all ASCII characters. Best for internal codes, SKUs, and serial numbers. Recommended default.
- Code 39 — Uppercase letters, digits, and a few special characters. Common in manufacturing and logistics. Produces wider barcodes.
- EAN-13 — Standard 13-digit retail barcode used worldwide. Data must be exactly 12 or 13 digits.
- EAN-8 — Compact 8-digit retail barcode for small products. Data must be exactly 7 or 8 digits.
- Codabar — Digits and a few punctuation characters. Used in libraries, blood banks, and parcel services.
Configuring a Barcode #
In the editor, scroll to the "Barcode" section below the label content lines:
- Select the column that contains barcode data
- Choose a barcode type
- Set the height in millimeters
The barcode appears in the live preview immediately. You can drag to reorder its position relative to text lines.
Barcode Validation #
If some rows contain invalid barcode data (for example, letters in an EAN-13 field), those specific barcodes will be skipped but the rest of the PDF generates normally. You will see a warning indicating which rows had barcode issues.
6. Previewing and Downloading #
Live Preview #
The right side of the editor shows a live preview of your first label page. It updates in real time as you change any setting — layout, columns, font size, barcodes, margins. What you see is what you will get when you print.
Downloading the PDF #
Click "Download PDF" to generate and download the full PDF with all your labels. The PDF is rendered server-side at print quality.
- Free tier: up to 100 labels per PDF
- Subscribed: unlimited labels per PDF
If your spreadsheet has more than 100 rows, only the first 100 labels will be included and you will see a notice. Subscribe to remove this limit.
Printing Tips #
For best results when printing your labels:
- Print at 100% scale (or "Actual Size"). Do not use "Fit to Page" or "Shrink to Fit".
- Disable headers and footers in the print dialog — these add extra margins that shift the content.
- Make sure the paper size in the print dialog matches your layout (A4 for A4 layouts, Letter for US Letter layouts).
- If labels are still slightly offset, adjust the page margins in the editor by 0.5–1 mm. Every printer has slightly different non-printable margins.
LabelMaker generates standard PDF files that work with any inkjet, laser, or thermal printer.
7. Using Presets #
What Are Presets? #
Presets let you save your complete label configuration — layout, content lines, barcode settings — as a named template. You can then load a preset when working with a different spreadsheet to instantly apply the same settings. This is useful when you regularly print labels with the same layout but different data.
Managing Presets #
The preset controls appear at the top of the editor:
- Save As — create a new preset from the current settings (enter a name)
- Save — update the currently selected preset with your latest changes (a dot indicator shows unsaved changes)
- Load — select a preset from the dropdown to apply its settings
- Delete — permanently remove the selected preset
Requirements #
Presets require a free LabelMaker account. Guest users see the preset controls disabled with a hint to log in. Both free and subscribed users can create unlimited presets.
8. Account and Subscription #
Creating an Account #
You can register with your email address and a password (minimum 8 characters). You will receive a verification email — click the link to activate your account. Alternatively, use Google Sign-In for one-click registration and login.
Google Drive Integration #
Connect Google Drive from your Account page to import Google Sheets directly. LabelMaker requests read-only access to your Drive file listings and Sheets content. We never modify, create, or delete any files in your Google account. You can disconnect at any time, which immediately deletes all stored tokens.
Note: Importing a Google Sheet creates a snapshot of the data at that moment. If you later update the spreadsheet in Google Sheets, you need to import it again in LabelMaker to see the changes — there is no automatic synchronization.
File History #
Registered users can access all their past uploads on the Spreadsheets page. Click any file to re-open it in the editor. You can also delete files you no longer need.

Managing Your Subscription #
Go to your Account page and click "Manage Subscription" to open the Paddle customer portal. From there you can update payment details, change your plan, or cancel your subscription. When you cancel, your subscription remains active until the end of the current billing period.
